Thank you for your interest in being a vendor at the Fifth Annual Fauquier County Celebration on June 14, 2025.  Applications for vendor booths open on January 3, 2025 at 9:00a.m. and registration will close on May 15, 2025 or when all spaces are full. A booth number will be assigned no later than June 1, 2025.  Applications will be processed upon payment receipt in the order received.

IMPORTANT INFORMATION:

  • Participants will be notified of acceptance no later than June 1st.

  • Set-up will start at 8:00a.m. and vendors should be prepared for sales by 10:30a.m.

  • Applications will be taken until May 15th, acceptance dependent on available space.

  • Payment must accompany registration. If vendor application is not accepted, the committee will refund the payment within 30 days.

  • We try to limit the number of vendors selling the same or similar products but do not guarantee exclusivity

  • We try to spatially diversify the locations of similar business types so that similar offerings are not in close proximity to each other

  • Spaces will be assigned in the order applications are received

  • Juneteenth is RAIN OR SHINE (Rain Date will be 6/21/25)

  • NO REFUNDS for any reason.

  • All applicants are required to read and agree to abide by the guidelines listed, below. 

All Vendors -  

  • All vendors will bring their own tents, chairs, power, and structural support (weights). 

    • Which may include tents (max size 10 ft. by 10 ft., tables, chairs, and power.

    • Structural support (weights) are mandatory for each tent.

  • Setup by 10:30a.m. required.

  • No amplified sounds may project beyond the vendor's space.

  • There is no electric or water source available for vendors.

  • The vendor must provide their own covering for protection from inclement weather.

  • Items and displays must be appropriate for a family festival. Any display deemed inappropriate or in violation of festival standards will be asked to leave without refund.

  • Vendors must adhere to times assigned for setup and departure.

  • Vendors must adhere to specific locations and times for loading and unloading.

Food Vendors -  

  • Food Vendors are required to clearly display their prices

  • Health department protocols can be found here: https://www.vdh.virginia.gov/environmental-health/food-safety-in-virginia/tfe/

  • A Department of Health Permit must be on display at the Festival. For a new permit or questions call Fauquier County of Environmental Health, 540-347-6363. Active permits from another locality may be used and displayed.

  • Food Booths must provide and maintain at least two (2) trash cans.

  • All tent or canopy coverings must be fire rated if cooking underneath them

  • Cooking tents involving grease must have a type K fire extinguisher available and the vendor must use grease pads. If not cooking with grease, Per Virginia Fire Prevention Code 2404.12, food vendors are required to have a 5 pound A-B-C Type Portable Fire Extinguisher within their space.

  • Code 2404.16.3 requires portable LP Gas containers be securely fastened in place

  • A 6% sales tax paid directly to the Town of Warrenton based on total will apply to all sales on food prepared on-site. More information will be provided upon registration.

  • Food Trucks

    • Valid Fire Inspection Card

      • Note: A copy of your inspection must be in the vehicle and supplied prior to the event AND to the inspector on the day of event

      • This can be performed by any Count Officials, Town Officials, or the State of Virginia

    • Wheel chocks MUST be available and placed between the vehicle and tires when not in motion

    • If cooking with grease, the food truck must have a Type K Fire extinguisher. If not cooking with grease, must have a A-B-C extinguisher.

    • Have at least 3 ft. clearance around the vehicle

    • Maintain 10 ft. separation from other permitted Food Trucks (Juneteenth Committee will ensure)

2025 UPDATES - based on your feedback

  • A new layout taking advantage of space on Winchester St. will be incorporated;

  • The egress procedures have been improved to ensure more efficient and effective shutdown; and

  • There will be more dedicated golf carts and helpers to support your logistics needs throughout the festival.
